An example engagement / Review + planned migration
Your business has outgrown its Gmail inbox
Move from personal Gmail accounts to email under your business domain, with shared mailboxes, individual access, and a clear plan for managing the team.

The situation
The business started with a Gmail address. It worked well enough when one person handled everything. Now there are more staff, more customers, and several inboxes that nobody manages in one place.
People share passwords, forward messages to personal accounts, or wait for the owner to pass along a verification code. When someone leaves, it is hard to tell which conversations, accounts, and recovery details still belong to the business.
Put the business in control
We start by listing the addresses, people, shared responsibilities, and old messages you need to keep. Then we plan email under your own domain, with named accounts for staff and shared addresses for work such as sales, accounts, or reception.
Each person signs in with their own account and gets access to the mailboxes they need. We agree who manages access, how account recovery works, and what happens when someone joins or leaves. Multi-factor authentication becomes part of that setup.
Move the mail with a plan
We confirm what can move from the existing accounts, including the messages, contacts, and calendars in scope. We test the migration, check the domain’s mail records and sender authentication, and agree when to switch delivery.
Before retiring the old setup, we check incoming and outgoing mail, shared mailbox access, and the devices your staff use. We also account for services that still send to the old address and leave you with a plan for the transition.
What you end up with
- Business-owned email addresses under your domain
- Named staff accounts and shared mailboxes with agreed permissions
- Existing mail and other agreed data migrated and checked
- Documented domain settings, recovery details, and administrator ownership
- A practical process for adding staff, removing access, and getting help
Scope and handover
The schedule depends on the number of accounts, the amount of mail, and the provider you are moving from. We confirm the subscription costs and migration scope before starting. Your company keeps control of its domain and email service.
If the business has grown but its email still depends on one person’s Gmail account, SSI LABS could help you move to a setup the team can manage.
