An example engagement / Review + provider setup

Your business number is stuck on one phone

Let the team handle calls and SMS through one business number, with shared conversations, clear ownership, and a plan for missed calls and staff handovers.

SSI LABS / Business calls & SMS / Conceptual study

The situation

Customers know one number, but that number lives on one phone. Calls come in while its owner is driving, in a meeting, or away. Text messages sit unread, and the rest of the team cannot see what was promised to the customer.

The business has grown enough that several people need to answer. Passing the phone around or forwarding calls solves only part of the problem. Someone still needs to know who is looking after each conversation.

Share the number, with clear responsibility

We work through who should answer, during which hours, and what happens when nobody is available. The aim is a business calling and messaging service that the right staff can use from their own devices.

Calls can ring the appropriate people or go into a queue. SMS conversations need a shared view, a way to show who is handling them, and enough history for the next person to pick up. We check those behaviours with your team before choosing the setup.

Check the number before moving it

We confirm whether your existing number can move and whether the proposed service supports both calls and shared SMS for that number. Messaging availability, registration, and transfer times depend on the provider and location, so we confirm them before setting a date.

We also check voicemail, after-hours routing, mobile access, and what happens during an internet outage. If the number is used for account verification, we include that in the transition plan. Staff get individual access that can be removed when they leave.

What you end up with

  • A business number the agreed team can answer, subject to provider support
  • Shared SMS conversations with clear responsibility for replies
  • Call routing, business hours, voicemail, and missed-call handling
  • Individual staff access and a documented process for handovers
  • A tested transition plan, staff guidance, and clear recurring costs

Start with the people answering

We test calls, messages, and handovers with a small group before moving the whole team. We agree the setup, provider costs, and timing with you, including any number transfer or messaging approval steps.

If the whole business is waiting on one phone, SSI LABS could help you make the number work for the team.
